This article is for school and organization IT administrators. End users do not have access to the Modmath Admin Portal.
The Admin Portal is located at app.modmath.com/admin. Sign up for an Admin Portal account at modmath.com/for-schools. You will receive an email with a link to set up your account.

1. SETTING UP YOUR ACCOUNT
When you sign up for Modmath Enterprise at https://www.modmath.com/for-schools you will receive a setup email that contains a link to the account setup page. Click the link (or copy and paste) to finish setting up your account. This link does not sign you in. To finish setting up your account:
- Open the setup link from the setup email.
- On the login screen, choose how you want to sign in:
- If you choose Google or Apple SSO, this links your Google or Apple account to your admin account.
- You can also sign in with a password. Enter a password and click Set password.
Follow the onscreen directions to complete your account setup. If your setup link has expired, contact support for a new invite.
2. SIGNING IN
Once your account is created, visit https://app.modmath.com/admin to sign in. If you have forgotten your password, click Forgot your password on the sign in screen and follow the on screen instructions.
3. ORGANIZATION SETTINGS
To view and edit your organization settings, click Organization Settings in the left hand navigation. Organization setting lets you:
- Update your organization's details
- View other organization admins you have added who can access the Modmath Admin Portal for your organization
To update any of these fields click the field name, enter the updated information, and click Save changes. Note if you have purchased licenses your address and phone number will be prefilled.
4. MANAGE END USERS
Once you have purchased a license and seats you can roster and assign seats by clicking Manage End Users in the left hand navigation.
The top row of boxes shows your seat counts:
- Total seats: every seat your organization holds, with a breakdown of lifetime, trial, and purchased seats.
- Seats rostered: seats currently assigned to users.
- Open seats: seats ready to assign.
Important: Rostering a user and assigning a user to a seat are separate steps. Rostering adds a user to your organization. Assigning a seat grants them access to Modmath and generates a setup email. This allows organization admins to easily move seats to other end users. A user must be assigned to a seat to access Modmath.
Important: Organization admins do not have access to the student application by default. If you or another organization admin want access to the student application you must roster and assign a seat to the organization admin email address.
To add (roster) a single user:
- Enter the user's email address in the Email field.
- Click Create end user.
To bulk import users:
- Click Bulk import.
- Select a CSV file of email addresses, one per row. A header row named "email" is ignored automatically.
- Review the result. Rows that cannot be imported (for example, an address that already exists) are skipped, and a summary lists each skipped address with the reason.
To assign a seat:
- Find the user's row (email address) and click the Actions menu (the three dots at the right).
- Click Assign to seat.
Assigning a seat to a user sends an email with a link to set up their Modmath account. The setup link is valid for 14 days and can only be used once. Users must sign in with the email address that was rostered in the previous step. In most school settings, users will sign in with their managed Google or Apple email addresses.
To resend a setup link:
- If a student lost the email or the link expired, open the row's Actions menu and click Resend setup link. A fresh setup email is sent. Resending a setup link is only available for users with an already assigned seat.
To remove a user from a seat:
- Open the row's Actions menu and click Remove from seat. The seat returns to your open seat pool and can be reassigned right away.
To edit a user's email:
- Open the row's Actions menu, click Edit, change the address, and click Save.
To delete a user account:
- Open the row's Actions menu, click Delete account, and confirm. Important: this permanently deletes the user and all associated data, including any seat assignment. This action cannot be undone.
What do Seat Types mean?
- Managed by organization: the user's access is controlled by you or another org administrator.
- Self managed: the user has their own personal Modmath subscription. Their access does not use one of your seats.
- Staff admin: the row is a portal administrator, not a student.
5. ORGANIZATION SUMMARY
The Organization Summary view makes it easy to see your seat counts and invoice history. It is informational only (nothing can be edited in this view.) To see your organization summary, click Organization Summary in the left side navigation. Organization summary displays:
License Summary
- Shows your license state (active, trial, pending, or expired), total seats with the lifetime, trial, and purchased breakdown, seats currently assigned, license start date, and license expiration date.
Invoice Status
- Shows your current or most recent invoice: invoice number, amount due, due date, payment status, and PO number if one was provided. Click View Invoice & Receipt to open the invoice and receipt in Stripe, where you can download a PDF.
Invoice History
- Lists every past and current invoice. Click View on any row to open that invoice.
6. GENERATE A QUOTE
If your organization requires a quote for use in the PO process, you can generate this yourself. To generate a quote click Purchase Licenses & Seats in the left side navigation. To generate a quote:
- Enter the number of Seats you need. The pricing tier is selected automatically from your seat count, and the per seat price updates as you type.
- Choose a Duration of 1, 2, or 3 years. Longer terms include a per seat discount.
- Review the per seat price and estimated total.
- Click Download quote to download a PDF. When you return to purchase licenses and seats you will add the PO number during the purchase process.
7. PURCHASE LICENSE AND SEATS
To purchase a license (for new organizations, expired licenses, and trial conversions):
- Enter the number of Seats you need. The pricing tier is selected automatically from your seat count, and the per seat price updates as you type.
- Choose a Duration of 1, 2, or 3 years. Longer terms include a per seat discount.
- Review the per seat price and estimated total.
- Optional: enter a PO number. A PO number cannot be added to the invoice after payment, so add it now if your organization needs one.
- Click Pay now to pay by card or ACH through our payment processor, Stripe. Your license activates as soon as payment completes. Note ACH payments can be delayed. Your license and seat will activate as soon as your payment clears.
If your organization has a trial license, this form is titled "Convert your trial to a paid license" and works the same way. Note that pricing is prorated to the days remaining in your term. To purchase seats:
- Enter the number of seats in Seats to add. The prorated per seat price and estimated total are shown.
- Optional: enter a PO number.
- Click Pay now to check out, or Download quote for a quote PDF.
- New seats are available to assign as soon as payment completes.
Licenses are not subscriptions and do not auto-update. To extend your license:
- Use the Extend License section to buy your next term early. The new term is added to your current end date, so no time is lost. The form works like the buy form above: choose seats, duration, optional PO number, then Pay now or Generate quote.
- Licenses do not renew automatically. Starting 14 days before your expiration date, we'll start sending you emails to renew, and a banner in the portal reminds you to extend. After expiry, your students keep access for a 7 day grace period while you renew. After the grace period, access is paused until you purchase a new license.
8. MANAGE ADMIN STAFF
To add additional organization administrators, click Manage Admin Staff in the left side navigation. To add additional users to the Admin Portal:
- Click Invite staff.
- Enter their name and email address and click Save.
- They receive an email with a setup link and follow the same account setup and sign in steps described above.
The staff directory lists your portal admins. You can search and filter the list by email and role.
9. YOUR ACCOUNT
Click your profile icon in the top right of the portal:
- Account Settings: update your name and profile details.
- Security: change your password.
